From candidate email to Salesforce

I built Flo for Logi-technic: a workflow that turns candidate emails and supported CVs into structured assessments, clear recommendations and prepared follow-up. When agencies reply, Flo connects the new information to the original proposal and processes validated details into Salesforce/Connexys.

The workflow, start to finish

  1. 01 · CollectQueue incoming proposals and identify the type of message.
  2. 02 · ExtractStructure experience, education and candidate information.
  3. 03 · AssessPropose a core profile, score and supporting explanation.
  4. 04 · PrepareCheck Salesforce and create the appropriate reply draft.
  5. 05 · RegisterWhen the agency repliesValidate replies and connect candidate, application and CV records.

The challenge

Staffing agencies send candidate proposals by email. Some experience is described in the email, more appears in the CV, and contact details may follow in a later reply. Before taking the next step, a recruiter has to connect all of it.

For Logi-technic, technical distinctions matter. Years in production do not automatically mean years in technical maintenance, similar job titles can describe very different responsibilities, and a relevant qualification can change how a junior profile should be assessed. Around that assessment sits the administrative work: checking records, preparing replies and registering the candidate and job application.

The solution

Flo connects Outlook, AI assessment and Salesforce through n8n. It separates reading the source material from evaluating the candidate, then carries the resulting context into the follow-up.

  • Collect and classify. Flo queues messages from the recruitment mailbox and separates targeted agency proposals from personal applications and recruitment marketing, which take a separate route for manual attention. Ambiguous submissions, such as proposals with several candidates, go to review.
  • Extract. Work experience, education, certificates, candidate details and, where available, practical information are structured from the email and supported CV attachments, with missing information kept visible.
  • Assess. A separate AI step compares that structure with Logi-technic’s own technical role profiles and proposes one core profile, a match score and a supporting explanation.
  • Prepare. For proposals that meet the match threshold, Flo checks Salesforce for an existing candidate and prepares the appropriate Outlook reply draft from Dutch or French templates. Proposals below the threshold can receive a decline draft.
  • Register. When the agency replies, Flo connects the reply to the original proposal, extracts the new information and validates it. When the checks pass, it can create or supplement the candidate, reuse or create the job application, and upload and link the CV in Salesforce/Connexys.

Details that mattered

Assessed against the company’s own role profiles
Logi-technic’s technical role profiles describe responsibilities, required skills and experience, useful extras and the boundaries between related roles. Flo reads them as structured reference data for every assessment.
Experience and education weighed on their own terms
The assessment distinguishes relevant technical experience from unrelated work, accounts for overlapping periods and gaps, and considers recency alongside relevant education and certificates.
A score with an explanation recruiters can use
The recommendation covers technical fit, relevant versus total experience, education, practical considerations such as language, mobility and availability, and the points still to verify.
Validated before writing to Salesforce
Before writing, Flo checks the candidate’s identity, contact details, agency, role reference and CV file. Conflicting or incomplete cases are routed for attention. A new CV received in a reply is validated and transferred, not reassessed against the role profiles.
Built for the exceptions, too
Several candidates in one proposal, a reply containing only a question, a missing CV or information that conflicts with an existing record each have their own route. Review records, processing statuses, existing-record lookups and checkpoints help keep these cases traceable.

The result

  • Assess

A role recommendation with supporting reasoning.

  • Register

Validated details carried through to Salesforce.
