HubSpot

Make HubSpot fit the way your teams actually work.

I help companies structure HubSpot around their Marketing and Sales processes — then automate the handovers, follow-up and data flows that make the CRM useful day to day.

CRM architecture

Start with the process, not the properties.

HubSpot implementations become difficult when the CRM is configured before the commercial process is clear. Properties, pipelines and workflows then describe how someone imagined the work, not how Marketing and Sales actually do it.

So the work starts with the process, and HubSpot is configured around it. Sometimes that means a new structure; often it means adjusting the parts of an existing portal that no longer fit. It is part of the wider CRM automation, marketing automation and business process automation work I do.

Questions to answer first

  • How does a lead enter the organisation?
  • When does Marketing hand it to Sales?
  • How do companies, contacts and deals relate?
  • Which stages does Sales actually use?
  • Which information is required at each stage?
  • What should happen automatically?
  • What do people still need to do themselves?

Automation should reduce repetitive work without hiding important decisions from Sales or Marketing.

What I work on

The parts of HubSpot that Marketing and Sales depend on.

HubSpot is one CRM, but Marketing, Sales and the systems around them each use it differently. These are the areas I structure and automate.

  • CRM structure

    • Contacts
    • Companies
    • Deals
    • Pipelines
    • Lifecycle stages
    • Define the CRM structure
    • Clean up properties
    • Design pipelines
    • Define required information
    • Improve data consistency
  • Marketing

    • Forms
    • Lists
    • Email
    • Segmentation
    • Campaign data
    • Capture leads
    • Build segments
    • Trigger workflows
    • Connect Marketing activity to CRM records
    • Prepare data for reporting
  • Sales

    • Deals
    • Tasks
    • Lead ownership
    • Meetings
    • Follow-up
    • Route leads
    • Assign ownership
    • Create follow-up tasks
    • Standardise deal stages
    • Reduce manual CRM administration
  • Data and integrations

    • Teamleader
    • Databricks
    • n8n
    • APIs
    • Webhooks

The systems HubSpot often has to work with. Which connections a project needs depends on where the data lives and which system owns it.

    • Migrate CRM data
    • Synchronise systems
    • Enrich HubSpot records
    • Connect external processes
    • Keep important data current

In production

One HubSpot environment for two growing brands.

Optimile and Mobiflow needed a shared commercial infrastructure in HubSpot: one environment that supports both Marketing and Sales, while keeping the distinction between the two brands.

I helped build that environment on HubSpot Sales Hub and Marketing Hub Professional, starting with the CRM foundation and moving on to the automations that turn incoming demand into work for Sales.

What was implemented

  • Migration of the existing CRM data from Teamleader to HubSpot
  • A CRM structure around companies, contacts and deals
  • A separate Sales pipeline for Optimile and for Mobiflow
  • Leads created from website forms and requests
  • Round-robin Sales assignment and automatic follow-up tasks
  • Marketing-to-Sales automation on shared customer data
  • Transactional email within the HubSpot setup
  • Sales onboarding and foundations for reporting

A Marketing-to-Sales handover in HubSpot

  1. 01 · CaptureA visitor submits a form or request.
  2. 02 · CreateHubSpot creates or updates the relevant CRM records.
  3. 03 · QualifyForm and CRM information give Sales the context for follow-up.
  4. 04 · AssignOwnership is assigned to Sales by the configured routing logic.
  5. 05 · TaskA follow-up task is created automatically.
  6. 06 · Follow upSales continues the conversation in the right pipeline.

Automation

The useful workflows often start outside the CRM.

HubSpot’s own workflows are the right tool when the process lives mainly inside HubSpot: a form submission, a property change, a task, an email. They are close to the data and easy for the team to see.

Real processes often cross other systems too. In those cases I combine HubSpot with APIs and with n8n workflow automation, so the process can continue where HubSpot stops.

Processes that often reach beyond HubSpot

  • Websites
  • Email
  • Spreadsheets
  • Internal systems
  • Data platforms
  • External APIs
  • Other CRMs or operational software

Use HubSpot’s native automation where it is the right tool, and external workflow automation when the process needs to move beyond HubSpot.

CRM migration

Moving data is the easy part. Making it usable is the real work.

A CRM migration is a chance to decide what the data should look like, not only where it goes. At Optimile and Mobiflow, the move from Teamleader to HubSpot was used to structure the data around how Sales and Marketing wanted to work going forward.

Duplicates, missing information and old habits do not disappear on their own, so a migration plan has to say how they are handled.

What a migration has to cover

  • Which records need to move
  • Field and property mapping
  • Companies and contacts
  • Deal relationships
  • Pipelines and stages
  • Ownership
  • Duplicate handling
  • Required data
  • Historical information that is actually useful

Architecture

Native workflows, n8n or a custom integration?

Each approach fits a different kind of process.

Native HubSpot workflows
Best when records and actions mainly live inside HubSpot, the automation fits HubSpot’s workflow capabilities and keeping the setup simple is valuable.
HubSpot + n8n
Best when several systems are involved, custom API calls are needed, data has to be transformed or the workflow needs logic outside HubSpot.
Custom integration
Best when the integration is business-critical, standard connectors do not cover the requirements or the system needs specialised behaviour.

Use the simplest architecture that can reliably support the process.

Questions about HubSpot

HubSpot, answered briefly

What can a HubSpot consultant help with?
Structuring the CRM, designing pipelines, aligning Marketing and Sales processes, building workflows and lead routing, migrating data, connecting other systems and setting up the foundations for reporting.
Do you implement HubSpot in Belgium?
Yes. VNCK works from Willebroek, Belgium, and helps companies structure and automate HubSpot for Marketing and Sales. Projects can be delivered remotely, with on-site collaboration where useful.
Can you automate lead follow-up in HubSpot?
Yes. Typical examples are assigning ownership, creating follow-up tasks, sending internal notifications, segmenting contacts and other workflow actions. The right automation depends on how the sales process works.
Can HubSpot assign leads automatically?
Yes, when routing rules and the available HubSpot functionality support the process. At Optimile and Mobiflow, incoming requests are assigned to Sales through round-robin assignment, with a follow-up task created automatically.
Can HubSpot connect to other business systems?
Yes. Through native integrations, through APIs and webhooks, or with n8n where a process needs more flexible orchestration across several systems.
Can you migrate another CRM to HubSpot?
Yes, depending on the source system and the data. At Optimile and Mobiflow, CRM data was migrated from Teamleader to HubSpot. A migration covers field mapping, the relationships between companies, contacts and deals, pipelines and the quality of the data that moves.
Do I need HubSpot Operations Hub for automation?
Not necessarily. Many workflows can be built with Sales Hub and Marketing Hub functionality. More advanced data operations or integration requirements may need additional HubSpot capabilities or external automation. It depends on what the process requires and on HubSpot’s current product capabilities.
Should I use HubSpot workflows or n8n?
Use HubSpot workflows when the automation mainly works with HubSpot data and actions. Use n8n when the workflow has to coordinate several external systems, APIs or custom processing. Sometimes both are part of the same process.
Can you clean up an existing HubSpot portal?
Yes. That can include properties, pipelines, lifecycle definitions, lists, workflows, ownership, duplicate and process issues and the reporting structure. Clean-up makes the data more usable; it does not make it perfect automatically.
Can AI be used with HubSpot?
Yes, as part of a controlled workflow. AI can extract information, classify requests, summarise conversations, prepare content or responses and support structured decisions. Important Sales and CRM decisions should stay with defined rules and the people responsible for them.

HubSpot project

Make the CRM easier to work with.

If HubSpot has become a collection of manual steps, disconnected data or unclear workflows, we can map the process and simplify the system around it.
